The agency had been running this model on a combination of legacy tooling and spreadsheets, which works at small scale and breaks at scale, with the multi-departmental offer-construction surface and the multi-recipient invoicing both asking more from a fragmented stack than it could deliver. What we did

We delivered Odoo for DOPE Studio across CRM, Sales, Purchase, and Accounting. Accounting sits on our EXN Greek Localization and EXN AADE MyData modules so every transaction reconciles to AADE in real time on the document classification codes the regime requires. CRM and Sales handle the inbound funnel and the commercial pipeline end to end.

The engagement's distinctive piece is a custom layer built around how a multi-departmental agency actually goes to market. Each department prepares its own quotation under its own numbering, so the originating team is visible on the face of every record and internal accountability is intact. A manager then assembles the relevant quotations into one consolidated offer, presented to the customer as a single coherent document, with each contributing department visible inside the offer for transparency without fragmenting the customer experience. When the consolidated offer moves through its lifecycle, sent, revised, confirmed, or cancelled, every underlying quotation moves with it, so the agency runs one commercial conversation with the customer rather than several parallel ones. Each underlying quotation keeps its own scope, summary, and service window, so the back office retains full per-department visibility for resource and margin accounting even as the customer-facing surface stays unified. On the invoicing side, a custom contact-routing mechanism extends the customer record so every invoice is delivered automatically to every billing contact the customer has designated, without anyone in finance having to remember who gets the copy this month. The legacy-Excel surface that previously held the operation together has been replaced by a structured, auditable, scalable commercial backbone where the customer sees one coherent offer, the agency keeps full per-team breakdown internally, and invoices reach every contact who needs them.
