Cosmos Yachting is a premier international yacht-charter company operating since 1987, with a fleet of sailing yachts, catamarans, and motor yachts across a dozen of the world's most-coveted destinations, and a customer base whose expectation is concierge-grade attention from the first inquiry to the end of the trip. The customer-facing surface is not a single website but a network of satellite sites, each tuned for its market and its audience, all reading from the same yacht catalogue and the same operational truth. The shape of the business is defined by the customer journey: the inquiry funnel, the destination-by-destination availability question, the pricing variability across season and fleet, the live yacht-data feed flowing into the customer-facing channels, and the multi-jurisdictional revenue and tax surface that a global charter operator runs against. Engagements of this shape, where customer-experience consistency meets a deep multi-system integration surface across a global fleet, a network of satellite websites, and a multi-country regulatory footprint, are exactly what Existanze's implementation practice is built for. Our methodology rests on fifteen years of systems-integration work, our proprietary EXN Middleware platform, a canonical data model honed across 90+ production integrations, and a portfolio of Odoo modules we author and maintain in-house, including the bespoke Sales-module customisation and integration-architecture work that the charter operating model demands.

What we did

Yacht charter on Odoo with custom Sales workflow and MMK/Nausys integration

Cosmos Yachting runs and organises its sales on Odoo across CRM, Sales, Purchase, and Accounting, with the platform serving more than 11 companies across 4 countries and 6 currencies. The engagement is anchored on three distinctive pieces of work, each addressing a layer of the operating model that the standard Odoo surface does not close on its own.

The first is a custom Sales-module workflow for charter quotation and sales. We extended Odoo Sales with a bespoke quotation surface tailored to how a yacht charter actually moves: charter-inquiry handling and qualification, destination-by-destination and season-by-season pricing, yacht-by-yacht booking generation, and the close-into-invoice flow that runs against the live charter availability position. The brokers work inside Odoo end to end, from the moment an inquiry lands to the moment the charter is booked, without leaving the platform for a third-party quoting tool.

The second is EXN Middleware as the connectivity layer to MMK and Nausys, the industry charter databases that hold the source-of-truth fleet and availability data for the global charter market. EXN Middleware carries a full bidirectional integration covering yacht information, booking inquiries, and live availability, with the canonical data model in the middleware normalising the two providers into one consistent yacht record inside Odoo. The integration runs an offline-synchronisation pattern underneath: customer-facing search runs against a locally-cached canonical model so search responses are fast under any provider load, and the cache reconciles in real time with the MMK and Nausys source-of-truth, so the broker and the customer see live availability without paying the provider-latency cost on every keystroke.

The third is a CMS-and-yacht-data feed to a network of satellite websites. Cosmos Yachting operates several customer-facing sites, and EXN Middleware pulls both the CMS content and the yacht data directly from the Odoo repository, so every satellite site reads the same yacht catalogue, the same fleet descriptions, the same media, and the same live availability as the brokers see in their CRM. The Odoo instance is the central content and data repository for the entire customer-facing surface.

Our brokers used to switch between systems to quote and to check availability, and our satellite sites used to drift apart. Existanze built us one platform: one yacht catalogue, one live availability picture, one quotation flow, and one source the satellite sites all read from.
